The HR system, PeopleSoft 9.0, will be down temporarily for Stan State student workers, faculty, and staff members, due to this version being no longer supported.
This software will be offline temporarily because Stan State is adopting the Common Human Resources System (CHRS), which will be implementing PeopleSoft 9.2.
IMPORTANT:
All offers for student employment must be accepted in CHRS recruiting before 10/25.
10/27 will be the final day for student employees to submit their timesheet and if it is not submitted before the end of the day on 10/27, then a paper timesheet must be submitted to document work hours.
All Stan State employees will lose access to MyStanState HR on 10/31 at 5 p.m..

According to Marla Clark, (HREOC division, Organizational Development & HR Systems Director, CHRS Project Manager), PeopleSoft 9.2 will provide modifications designed to make common HR practices more efficient and meet the CSU system’s needs.
“CHRS is PeopleSoft, it is just an upgraded version of PeopleSoft and includes custom modifications made by the CSU to accommodate how we operate,” said Clark.
CHRS will also position the CSU system to consider cloud-based technologies in the future.
Stan State and Cal State Fullerton were selected as the first CSU campuses to adopt and implement CHRS.
She also noted that in addition to Stan State and Cal State Fullerton utilizing CHRS, both Cal Maritime and CSU Channel Islands will also implement this system in November.
“Once all 23 campuses have implemented CHRS, all campuses will be in one shared system and will be performing HR processes in a common way. This will increase efficiencies and reduce overall costs,” said Clark.
Clark also mentioned that Steve Relyea (CSU Executive Vice Chancellor & Chief Financial Officer), one of CHRS’ Executive Sponsors, said that CHRS is the most important program in the CSU system cost-effiency wise.
Clark explained the main differences users will notice in PeopleSoft 9.2.
“The key difference is an improved user experience along with a new look and feel. The system is easier to navigate and includes tiles on the user’s dashboard that will take them directly to where they need to go,” said Clark.
Clark also stated that there will also be self-service features available within the software for all employees, including student workers.
These self-service features will allow employees to view and update personal details, such as addresses, phone numbers, emergency contacts, and disability status.
Employees will also be able to update their preferred name within the system, rather than sending an email request to Human Resources or Faculty Affairs.

Clark highlights the several benefits she believes will come from CHRS implementation relating to the new Temporary Academic Employment (TAE) module.
She explained that TAE will provide decentralized entry of all temporary faculty, coaches, counselors, librarians, and academic student employee appointments, automated approval workflows for appointments, and automatically generated appointment notification letters.
Access to view letters online (including historical letters) will be available to those hired through TAE.
“The TAE module will eliminate the current paper process for faculty appointments,” said Clark.
Clark also acknowledges the impact that implementing a new system can have on those affected.
“Change is difficult and adapting to a new system takes time,” said Clark.
She noted that the HR and Faculty Affairs project team have provided Stan State employees with CHRS Training.
Specific training for student employees is also availble.
“We will also be there to provide support to anyone that might need it throughout the transition to the new system,” said Clark.
Hybrid Open Labs will also be available as a mode of support, where module experts will assist employees who have questions, concerns, and/or troubleshooting issues.

Rachael Durham (Junior, English) started working as an Instructional Student Assistant (ISA) this semester and serves as a writing tutor and peer mentor for the Writing Center.
As a student worker, Durham expressed her initial concerns that she felt when she heard the news that PeopleSoft will be going offline temporarily.
“It can be a little bit confusing and then frustrating sometimes, but I feel like the way Paula, our boss, kinda went about it, she explained it in a way that made it easy to understand,” said Durham.
However, she is now confident that things will fall into place, since she knows what is going on, is preparing beforehand, and can express any more questions or concerns she has to the Writing Center Director, Paula Barrington-Schmidt.
Durham also noted that viewing the “Intro To CHRS” Zoom presentation helped inform her about the upcoming deadlines that will affect her.
She also wanted to remind other student workers that everything will turn out okay.
“Definitely take a break and breathe. Things can be stressful, but everything is fixable. Nothing is permanent. You got this.” said Durham.
Mary Worthington (Graduate, Writing Studies) also works in the Writing Center as a tutor and peer mentor.
When Worthington found out about PeopleSoft shifting and temporarily going offline, she grew concerned.
“. . . I felt like a little bit of panic. I thought ‘Okay, how’s that going to work? Where are my menus gonna go? Like, how am I going to keep track of the things I need to keep track of?'” said Worthington.
“There’s this element where we have to predict the hours that we’re gonna work, and so, my first thought was like, ‘I hope that all my appointments stay and that they don’t cancel,'” Worthington added.
However, utilizing the CHRS training modules and taking a look at the PeopleSoft 9.2 menu previews helped her grow more content with the situation.
Like Durham, Worthington reminded those concerned by the changes will be alright.
“We just have to go dark for a little bit. We just have to like chill out and not do anything for a little bit. We’re gonna get our system back and nothings going to change but the visuals,” said Worthington.
Worthington also expressed her concerns about the PeopleSoft changes to Barrington-Schmidt, who she felt gave her affirming responses on the matters.
